Advice for Representatives
Things to consider:
A picture paints a thousand words Use graphics or a bold display to capture peoples attention! Make your message clear - it will help to attract your target audience to your stand.
Are you approachable? Don't hide at the back of your stand, stand at the front! Make sure your stand representatives are enthusiastic - are they happy speaking to approximately 900 students on one day?
Do your representatives 'know their stuff'? They are effectively selling your company. Make sure that your representatives are fully briefed and have enough knowledge to answer questions on the day. It would be helpful if they are up-to-date on the vacancies that you are recruiting for; have a thorough knowledge of your website and what it contains; understand the different types of qualifications students may hold; are aware of the Post-study Workers Scheme and the process of applying for work permits; and most importantly if you are recruiting into specialised roles, make sure you have a representative from this area of the business on your stand - they can provide valuable information that might not easily be found elsewhere. Remember, students and graduates want to find out as much about you as you do about them - don't just refer them to the company website.
Please don't leave until the end!! I understand that it has been a long day, that you've been on your feet talking to student after student - but please don't leave until the end, if possible. The Fair is open from 1.00pm - 4.00pm to allow as many students as possible to attend. This might mean that students who have lectures until 2.30pm can only make the last hour - it is not their fault that they couldn't attend earlier in the day when you were feeling more refreshed, but they are here now and are just as keen to speak to you! The student grapevine can be a very powerful tool ... please don't leave early unless you have to catch the London train.
Questions that students/graduates may ask you?
- What type of vacancies does X have?
Where are they based? What are the entry requirements? What is the starting salary?
- What's it like to work for X?
- What do you look for when you are recruiting into a role?
- What kind of training and development do new recruits receive?
- What would a new recruit typically do in the first 12 months?
- Why did you join X and why do you enjoy working for them?

Catering
Mineral water and hot beverages will be freely available throughout the day to all exhibitors.
We will be serving a light buffet lunch between 12.00pm and 2.00pm. Your lunch vouchers will be included in your welcome pack on your stand. Please remember to inform us of any special dietary requirements by 13th November 2009.
Three lunches are included in the cost of your stand. You can book additional lunches (£10 plus VAT) in advance by emailing m.brazil@sheffield.ac.uk. A limited number of extras are available on the day, please speak to your stand helper. Alternatively, plenty of additional catering facilities are available nearby.
Note: If you have more than one stand representative please stagger your lunch breaks to ensure full coverage at your stand and to ease congestion at the buffet.

Cleaning / Rubbish Disposal
The organisers are responsible for ensuring that the aisles are clean and clear throughout the Fair. We would also appreciate your help in ensuring that any rubbish collected during the course of the day is placed neatly at the back of your stand. Your stand helper will remove this during the day (if requested) or it will be cleared at the end of the event.

Exhibitor Badges
Exhibitor Badges must be worn at all times throughout the Fair. Your badges will be located in the welcome pack on your stand on the day of the fair.
In order for the organisers to prepare these badges you must ensure that the names of the representatives who will be attending the fair are supplied to us. You can submit these details online at the same time as completing your Company Profile, or you can email them to m.brazil@sheffield.ac.uk
Please ensure that your representative names have been emailed or submitted online by the 13th November 2009.
Any member of your organisation who is visiting the fair and not actually staffing the stand should be registered as a visitor.

Feedback
In your exhibitor welcome pack you will find a feedback form. The organisers would like to thank exhibitors in advance for completing this form and returning it to their stand helper on the day of the Fair. Your feedback will help the organisers to assess the event's success.

Insurance
Whilst we take every precaution to protect your property during the event we are not responsible for any loss or damage and we recommend, in accordance with sections 6 and 7 of the terms and conditions that you effect appropriate insurance cover.
You are also responsible for insuring against any legal liability incurred in respect of injury or damage to property belonging to third parties. In addition to this you should protect your expenditure against abandonment and cancellation or curtailment of the Fair due to reasons beyond our control.

Internet Connections
If you require an Internet connection the following two methods are available:
- WIRELESS - the Octagon Centre has a wireless internet facility, which can be accessed free of charge. If you would like to use this facility please inform the organisers either prior to the Fair or when you arrive on the morning.
- ANALOGUE - we can supply you with an analogue internet line to your stand at a cost of £25.00 plus VAT. If you require an analogue line then you need to book this by the 13th November 2009. Please email m.brazil@sheffield.ac.uk or telephone 0114 222 0906 to book this facility.

Name Signs
Each stand will have a stand number and the exthibitor's name* displayed.
*Please ensure that the name you submit for your exhibitor profile is the name that you want displaying on the stand. This name sign must not be removed.

Opening Hours
The Sheffield Legal Fair will be open to the public on Wednesday 25th November 2009 between the hours of 1.00pm and 4.00pm.

Parking
Parking at the University of Sheffield is very limited and unfortunately we are only able to guarantee one parking space per stand (although it may be possible to allocate further spaces on a first booked basis at a later date). If you have requested a parking space when you booked, you will receive your parking permit by email in early November. If you did not request a parking space at this time please contact me at m.brazil@sheffield.ac.uk and I will book one for you.
Important - Remember to bring any University parking vouchers you have been allocated with you to the Fair or to forward them to the stand representative(s) attending who will issue the relevant parking permit. You must use the permit in the designated car park and that car park only; the University clamps any vehicle displaying no permit or an incorrect permit.
Alternative Parking
Supertram Park and Ride is a very convenient way for visitors arriving by car to travel to the University without having to drive through the city centre and find somewhere to park.
- From the M1 use the Nunnery Square or Meadowhall Interchange Park and Ride sites.
- From Manchester and the west use the Middlewood or Meadowhall Interchange Park and Ride sites.
The Nunnery Square and Middlewood sites are staffed car parks with video surveillance.

Stand Helpers
Each exhibition stand will be allocated a stand helper. Your assigned stand helper (wearing a black 'Events Team' t-shirt) will introduce him/herself to you at the start of the day. He/she will help you with the set up and break down of your stands and with any queries or problems that may arise throughout the day. If you need to speak with the organisers at any time please either ask your stand helper or go to the registration desk outside the Main Hall.

Welcome Pack
When you arrive at your stand you will find a document folder with your organisation's name on. In this folder you will find a copy of the Student Fair Guide, your pre-ordered lunch vouchers, exhibitor name badges, venue terms and conditions and a summary of these manual notes.
